Data retention and deletion
How long Alakili keeps each kind of record, what happens to your workspace when a subscription ends, and how to have something deleted now.

The principle
We keep your data for as long as you are using Alakili, and for a short, stated period afterwards so that nothing is lost while an account is being wound down. Then it goes.
Deletion here means deletion, not a flag that hides a row from the interface.

While your workspace is live
Operational records are kept for as long as they are useful to you, because a station needs its own history: last season’s attendance is what this season’s reliability picture is built from. You can delete a record yourself at any time.
- People, fleet, routes, schedules and assignments: kept until you delete them.
- Compliance documents and their derived expiry dates: kept until you delete them or the person is removed.
- Attendance, shift notes and message history: kept until you delete them.
- Activity log: kept for the life of the workspace, because an audit trail you can prune is not an audit trail.

When somebody leaves your team
Removing an associate removes them from scheduling immediately. Their historical records stay until you delete them, because attendance and compliance history is often the thing an operator needs to keep for their own legal reasons. Deciding how long is your call, not ours.

When your subscription ends
Your workspace becomes read-only for thirty days. You can export everything during that window and we will help if the export needs a shape the product does not offer.
Thirty days after that, we delete the workspace and everything in it from our live systems.

Backups
Encrypted backups are retained for thirty-five days on a rolling basis. A record you delete disappears from the live service immediately and ages out of backups within that window. We do not restore a deleted record from backup except to recover from an incident affecting the whole service.

What we keep longer, and why
Invoices and the records behind them, for as long as tax and company law where we are incorporated requires. Security and abuse logs, for twelve months. Neither contains associate records.

Asking us to delete something now
Write to hello@alakili.com. Where you are the controller, tell us what to delete and we act on your instruction. Where an associate has asked you directly, send us the instruction and we will support you in answering them within the statutory period.
